The Senior Case Management Officer plays a crucial role in providing administrative support and ensuring that councils and agencies receive the necessary assistance. Key Performance Areas
- Efficient Office Management: Maintain a well-organized office environment that supports the seamless execution of all case management tasks. This includes managing electronic and paper filing systems, scheduling meetings, and ensuring all administrative processes are streamlined and efficient.
- Stakeholder Communication: Serve as the first point of contact for inquiries from councils, agencies, and the public, ensuring that all communications are handled professionally and in a timely manner.
- Application Review and Processing: Thoroughly examine applications for compliance with the Labour Relations Act (LRA) Section 143, ensuring all required documentation is complete and accurate. This involves detailed assessments and coordinating with applicants to clarify or obtain additional information.
- Regulatory Adherence: Ensure that the processing of s143 applications adheres to all statutory requirements, providing applicants with guidance on the LRA’s provisions and how they apply to their situation.
- Financial Management: Oversee the accurate and timely processing of subsidy payments to councils, ensuring all financial transactions comply with organizational policies and procedures.
- Reporting and Accountability: Develop and maintain reports on subsidy disbursements, providing transparency and accountability in the use of funds. This includes regular updates to management and relevant stakeholders on payment statuses and any discrepancies.
- Meeting Facilitation: Organize and coordinate meetings for the Governance Committee, including logistics, agenda setting, and the distribution of materials. Ensure that meetings are conducted efficiently and effectively, fostering a collaborative decision-making environment.
- Documentation and Record-Keeping: Maintain accurate records of committee proceedings, decisions, and actions taken, ensuring that all governance documents are up-to-date and readily accessible.
- Complaints Resolution: Implement a systematic approach to handling complaints related to councils, agencies, and panelists, ensuring that each complaint is investigated thoroughly and resolved in a manner that is fair and consistent with organizational policies.
- Stakeholder Engagement: Work closely with councils, agencies, and panelists to address any issues or concerns, promoting a positive and cooperative relationship between all parties.
- System Oversight: Regularly monitor the Case Management System (CMS) to ensure that it accurately reflects current data on councils and agencies. This includes reviewing case entries, updates, and outcomes to ensure completeness and accuracy.
- Performance Analysis: Utilize CMS data to analyze the performance of councils and agencies, identifying trends, areas for improvement, and opportunities to enhance service delivery and operational efficiency.
Key Requirements:
- Legal and Industrial Relations Foundation: Candidates must have a robust foundation in employment laws and labor relations, underscored by a Matric and a Diploma in Labour Relations or an equivalent qualification. This academic background ensures that candidates possess the necessary theoretical knowledge to navigate the complexities of labor law and industrial relations.
- Practical Experience: At least one year of practical experience is required for those with the educational background mentioned above. Alternatively, candidates can demonstrate their suitability through a minimum of three years of relevant experience in fields directly related to employment laws, trade union activities, bargaining councils, labor inspection, or human resource management. This experience is critical for understanding the real-world applications of labor laws and the dynamics of labor relations.
- Multilingual Abilities: Proficiency in at least two African languages, in addition to English, is highly advantageous.
